Withdrawals, Cancellation & Refunds

There will be occasions when indivduals or a whole team need to withdraw from the event for whatever reason. Hikers entering for the event will realise that by registering they are accepting the terms and conditions for the event and that commitments will be made based on the number of hikers who have entered. The event's cancellation policy is outlined on this page.

Substitution of an individual or a team

  1. The adult in charge of the team may find a replacement hiker anytime prior to the check-in on the day of the event, provided that the person is eligible for the event. This adult will need to ensure all the electronic paperwork has been completed by logging on and modifying the hiker names; also a waiver form if not a Scout Association member. No additional fees are payable.
  2. If no replacement can be found, then at the sole discretion of the Hike Director, the remaining hikers may be tagged on to one or more other teams. The two are not eligible to win the event as a team but are eligible for the fastest individual times.
  3. If no replacement can be found and the team is not tagged to another team, then the team will be retired at the start. Entry fees may be fortfeited.

Permanent Withdrawal of whole team

  1. Notification of a substitution or permanent withdrawal of a team must be made in writing (by email) to the Hike Secretary
  2. If a permanent withdrawal is made the team will be removed from the starting list as if the team had not entered.
  3. In some circumstances, a refund may be made for a permanent withdrawal. Refunds are made according to the schedule below:

a full refund will be made by cheque within 60 days. if the orignal payment was made within the previous 50 days of the cancellation then a full refund can be made to the original payer's PayPal account within 10 days; otherwise the refund will be the amount less a £2 administration charge (PayPal's charge).

a 50% refund can be made by cheque within 60 days. a 50% refund can be made by PayPal within 10 days.
